What the notes add

The stage says what VERVE is waiting on. The latest item note says where it is up to. The portal reads the most recent note and uses it three ways:

A date in the note ("ready around 12/11")	The task asks the factory to confirm that date in the field, and the window runs to it
A price in the note ("US$1,466 mahogany")	The task is not "send pricing" but "confirm this price and MOQ", one click
A PO number in the note ("sample PO-005507 sent")	The task attaches to that PO line

Once the factory answers in the portal, the answer lands in the NetSuite field and the note is no longer the record. The notes keep working as they do today; the portal just stops depending on them.

How the link works. Search 2556 is nothing more than "items where NPD status is set". The portal reads that same field on the item, finds the factory through the sample PO (or the item's preferred vendor when there is no PO yet) and creates one task per item by stage: Design = confirm buildable; Awaiting pricing = return pricing; Sampling = PO clock on the sample PO, then sample finish date, then photos, then ship date. The factory's answer writes the PO line's vendor finish date and the item's planned ready field (custitem21), so search 2556 and Flow's NPD page fill themselves. Across all factories today: 9 open NPD items, 1 with a planned date in the field, all 5 sampling items on a sample PO with no dates on the line. Each factory sees only its own.

Rules that run without a person

Small date moves approve themselves

Seven days or less, no priority flag, no sales order pushed later than promised. Written to NetSuite, factory told.

PO clock: PI and dates back within the timeline

The day a PO is sent, the factory gets one task with a due date: PO date plus the timeline, set here at 5 working days. Done means the PI is uploaded and matched, and every line has production start, finish and QC date. At the due date with either missing the task goes overdue, the standing drops, and the chase runs: email at +2 days, WeChat at +4. Nobody at VERVE has to notice the blank.

Chase before the date, not after

Seven days before a promised finish or QC date with no update, the factory gets a task: confirm the date or give a new one. Portal reminder, then email, then WeChat at 48 hours. A date confirmed or moved before it is due counts for the score; a date discovered late counts against it.

New products get tasks from NetSuite saved search 2556

Any item with an NPD status other than Finalised gets one open task, by stage: Design, confirm buildable within 48 h; Awaiting pricing, return pricing within 5 working days; Sampling, the PO clock on the sample PO, then finish date, photos and ship date. The answer writes the item's planned ready date, so nobody re-keys from notes. An NPD item with no factory on it becomes a VERVE task for the DRI, not a supplier task.
